Frequently asked questions
Use the Excel import feature. Go to Settings > Import, download our template, populate it with your data, and upload. The system validates data before import and flags any issues. You can import hundreds of assets at once.
The mobile app supports offline mode for asset capture. Photos and data are stored locally and sync automatically when you reconnect. However, searching and reporting features require an internet connection.
Our AI correctly identifies asset type and category approximately 95% of the time for common office furniture. Accuracy is highest with clear photos in good lighting. You can always adjust AI suggestions if needed.
Yes. We use industry-standard encryption (AES-256) for data at rest and TLS 1.3 for data in transit. Our infrastructure is hosted on enterprise-grade cloud providers with SOC 2 compliance. We perform regular security audits and penetration testing.
Camio calculates environmental impact based on asset lifecycle data. When you reuse an item instead of purchasing new, we calculate the avoided CO₂ based on industry-standard emission factors. Similar calculations apply to waste diversion. All methodologies are documented and auditable.
Yes. While Camio includes standard categories for common assets, you can create custom categories specific to your organisation. Go to Settings > Categories to add, modify, or reorganise your category structure.

Getting Started
Creating your first property
To create a property, log into Camio and click "Add Property" from your dashboard. Enter the property name, address, and any relevant details. Properties are the top-level containers for your assets—typically representing a building, floor, or site.
Adding assets to your inventory
Assets can be added individually or in bulk. For individual items, use the mobile app to photograph the asset—our AI will automatically identify and categorise it. For bulk imports, use our Excel template to upload multiple items at once. Each asset can have photos, condition ratings, location data, and custom fields.
Understanding the dashboard
Your dashboard provides an overview of your assets, recent activity, and key metrics. The main sections include: Asset Overview (total count, condition breakdown), Recent Activity (latest changes), Quick Actions (common tasks), and Impact Metrics (sustainability data). Use the filters to focus on specific properties or asset types.
Inviting team members
All Camio plans include unlimited users. To invite team members, go to Settings > Team > Invite. Enter their email address and select their role: Viewer (read-only), Editor (can add/modify assets), or Admin (full access). Invitees receive an email to set up their account. You can manage permissions at any time from the Team settings page.
Platform Features
Using AI-powered asset identification
When you photograph an asset, our AI analyses the image to identify the item type, estimate condition, and suggest category placement. Simply open the Camio app, tap the camera icon, and take a clear photo. The AI works best with good lighting and a clear view of the entire item. You can always adjust the AI suggestions if needed.
Generating and using QR codes
QR codes provide quick access to asset information. To generate codes, select the assets you want to label and choose "Generate QR Labels" from the actions menu. You can print labels individually or in batch sheets. When scanned, QR codes open the asset's full profile including location, condition, history, and any attached documents.
Planning and tracking moves
The Moves feature helps you plan asset relocations. Create a new move, select source and destination locations, then add the assets being moved. Camio generates move lists, tracks progress, and updates asset locations automatically when moves complete. Use move templates for recurring relocations.
Setting up maintenance schedules
For assets requiring regular maintenance, you can set up schedules from the asset detail page. Click "Add Maintenance Schedule" and specify the frequency (daily, weekly, monthly, annually) and task description. Camio will notify the assigned team member when maintenance is due and track completion history.
Using the internal marketplace
The marketplace enables internal reuse by matching surplus items with needs. When an asset is no longer needed, list it on the marketplace. Other team members can browse available items and claim what they need. This prevents duplicate purchases and extends asset life. Marketplace activity is tracked for sustainability reporting.
Integrations
Excel import and export
Camio supports full Excel integration. Export your inventory at any time as a formatted spreadsheet. For imports, download our template, populate it with your data, and upload via Settings > Import. The system will validate data before import and flag any issues for correction.
API access for custom integrations
Our REST API enables custom integrations with your existing systems. API access is available on Medium plans and above. Documentation is available in your account settings. Common integrations include CAFM systems, procurement platforms, and building management systems.
Single Sign-On (SSO) setup
Enterprise customers can configure SSO for seamless authentication. We support SAML 2.0 and OAuth protocols, compatible with providers like Okta, Azure AD, and Google Workspace. Contact your account manager to configure SSO for your organisation.
Account & Billing
Upgrading or downgrading your plan
You can change your plan at any time from Settings > Subscription. Upgrades take effect immediately with prorated billing. Downgrades take effect at the end of your current billing period. Your data is preserved regardless of plan changes—you'll only lose access to features not included in your new plan.
Managing payment methods
Update your payment method via Settings > Billing > Payment Methods. We accept all major credit cards. For invoice-based billing (available on Large plans and above), contact your account manager to set up custom payment terms.
Cancelling your subscription
To cancel, go to Settings > Subscription > Cancel Plan. You can continue using Camio until the end of your current billing period. Your data is retained for 90 days after cancellation in case you decide to return. After 90 days, data is permanently deleted in accordance with our privacy policy.
Getting invoices and receipts
All invoices are available in Settings > Billing > Invoice History. Download individual invoices as PDF or export your complete billing history. You can update your billing email and company details for invoices in the same section.
